SoulStudio Inc. (“we”) recognizes the importance of personal information. We comply with Japan’s Act on the Protection of Personal Information (the “Act”) and other applicable laws, and handle personal information as set out below.

This policy applies to personal information we obtain through our website (soulstudio.jp) and in the course of our business. Personal information of users of SoulChat, the service we operate, is handled under the SoulChat Privacy Policy(opens in a new tab).

1. Name, address and representative

2. Information we collect

We lawfully collect personal information such as your name, company or organization, department and title, email address, phone number, and the content of your inquiry, through our inquiry form, email, meetings and job applications.

3. Purposes of use

We use personal information only for the following purposes:

  • To answer inquiries and requests, and to contact you about them
  • To review requests concerning titles and IP, propose projects, hold meetings, and conclude and perform contracts
  • To communicate with business partners and manage transactions
  • To evaluate job applicants and contact them about the selection process
  • For work incidental to the above

4. Disclosure to third parties

We do not provide personal information to third parties without your prior consent, except:

  • Where required by law
  • Where necessary to protect a person’s life, body or property and it is difficult to obtain your consent
  • Where we need to cooperate with a national or local government body, or a party it has entrusted, in carrying out duties prescribed by law, and obtaining your consent could interfere with those duties
  • Otherwise as permitted by the Act

5. Security measures

We take the following measures to prevent leaks, loss or damage of personal information:

  • Organizational: We have assigned responsibility for handling personal information and set up a process to report and respond to any handling that breaches the law or this policy.
  • Personnel: We inform and train our staff on the proper handling of personal information.
  • Physical: We prevent theft and loss of devices and documents containing personal information, and take steps to prevent leaks when they are taken outside.
  • Technical: We limit who can access personal information and how much, and protect it from unauthorized access and malicious software. Communication through the forms on this site is encrypted.
  • Understanding foreign environments: We use cloud services provided by companies based in the United States, so personal information may be stored on servers in the United States and other countries. We take security measures based on an understanding of those countries’ systems for protecting personal information.

6. Retention

We keep personal information only as long as needed for the purposes of use, and delete it without delay, in a way that cannot be restored, once it is no longer needed.

7. Your requests

If you ask us to notify you of the purposes of use; to disclose, correct, add to or delete; to stop using or erase; or to stop providing to third parties the personal information we hold about you, or to disclose records of its provision to third parties, we will respond without delay in accordance with the law after confirming that you are the person concerned (or their representative). This site does not use cookies to identify visitors, analytics tools, or advertising technology.
